Privacy Policy

Effective date: November 5, 2026

Who we are

ZT Agency is operated by ZTA Management LLC, a Washington company. This policy explains how we handle personal information collected through our website and in connection with talent applications, representation, and bookings.

For privacy questions or requests, contact booking@ztagency.com.

Information you provide

When you contact us or apply for representation, we collect the information you submit. Depending on the form, this may include your name, contact details, age, city and state, experience, skills, prior representation, and links to headshots, portfolios, resumes, demos, social profiles, or casting profiles. Voiceover applications may include recording-studio and technical information.

Project-related forms may also collect production details, budgets, roles sought, and filming dates. Please consider what personal information you include in free-text messages and linked materials.

Website form submissions are stored in our WordPress database and may generate email notifications to the agency.

How we use information

We use information to respond to inquiries, review applications, communicate with talent and parents, maintain representation records, submit talent for opportunities, arrange paid bookings and payment, operate and secure our website, and meet legal obligations.

Submitting an application does not guarantee representation. Representation decisions are made by Bob Tomazic, not automated systems.

We do not use applicant or roster information for unrelated marketing, and we do not sell or rent that information or provide it to advertisers or data brokers.

Represented talent and publicity

By agreeing to join the roster, talent authorize public talent profiles and agency promotional activity, including social posts and booking announcements.

We do not publicly share talent’s last names, personal email addresses, phone numbers, or home addresses. Those details are used internally for booking paid work and arranging payment.

For representation, we maintain profile information and working records, including photographs, skills, playable ages, professional materials, and booking-related information. We may provide relevant professional materials to casting directors, producers, clients, and their teams when submitting or promoting talent for work.

Casting platforms and service providers

We work with Casting Networks, Casting Frontier, Skybolt, and Casting.com. Talent control their own platform accounts and authorize their connection to the agency. Those connections allow agency access; they do not make ZT Agency the owner of the underlying accounts. Account deletion remains with the talent and the platform.

We also use service providers for website hosting, forms, email, file storage, and analytics, including Bluehost, WordPress tools, and Google Workspace. Agency records may include authorized local working copies.

Authorized people and AI assistants may process agency information to carry out administrative work, such as organizing correspondence, maintaining records, and updating profiles under agency direction. These tools do not make representation decisions. Third-party providers process information under their own terms and privacy policies.

Website analytics and cookies

We use Google Analytics 4 through MonsterInsights for basic website analytics, such as understanding visits, pages viewed, and traffic sources. Analytics uses cookies, including Google Analytics cookies, and sends usage information to Google. Google states that GA4 does not log or store individual IP addresses.

Our site also loads WordPress.com statistics resources. Our hosting and website services may process IP addresses and other technical request information for website operation and security.

Pages may load resources from third parties, including fonts, icons, and profile images. When your browser requests these resources, the provider may receive your IP address and standard browser request information.

You can manage or delete cookies through your browser settings. Blocking cookies may affect website features and how visits are measured.

Children and parent involvement

We work with minor talent through their parents or guardians. A parent or guardian is expected to complete applications and other documents and provide their own contact information rather than the child’s. Applications may still include information about the child, such as their name, age, experience, and professional materials.

Because we cannot verify who initially completed an online form, we require a parent or guardian to be present and involved in interviews and meetings with minors. We rely on that parent- or guardian-led process rather than a separate online identity-verification step. Parents or guardians may contact us with questions or requests concerning their child’s information.

Retention and roster removal

We archive unsuccessful applications indefinitely for possible future reference. Former talent’s agency records are also retained indefinitely unless deletion is requested and can be carried out, subject to applicable legal requirements.

Taking talent off a roster does not automatically erase underlying profiles or retained working records, and does not recall previously sent packages.

Removing an agency connection or changing a platform status is different from deleting the talent’s own account. Information already received by clients, casting teams, or other third parties may remain in their records.

Access, corrections, and deletion

Contact booking@ztagency.com to ask about your information, request a correction, or request deletion. We may need to verify your identity or authority to act for a minor.

We will make reasonable efforts to delete information within our control when requested, to the extent our email, storage, and platform systems allow. We cannot guarantee removal from independent third-party accounts, previously delivered materials, or all backup copies. Some information may need to be retained for legal or business-record obligations. Additional rights may apply depending on where you live.

Security and third-party services

Access to the private WordPress and Bluehost administration areas is limited to Bob Tomazic and his authorized assistant. No website, email system, or storage service can guarantee complete security.

Third-party websites and casting platforms have their own privacy practices. This policy does not control their handling of information.

Policy updates

We will post significant updates as a notice on our website and revise this policy’s effective date. We will provide additional notice if legally required.
